Harley House Terms and Conditions
1. Introduction
These Terms of Service ("Terms") govern your use of Harley House, including membership services, facility usage, and interactions on our platform. By accessing Harley House, you agree to comply with these Terms and related policies. For questions, contact us at hello@harleyhouse.com.
2. Membership Eligibility
Membership at Harley House is available to healthcare professionals accredited by recognised bodies such as the GMC, NMC, GDC, GPhC, and HCPC. Proof of registration is required upon application.
Members must adhere to:
CQC Registration (where legally required).
Maintaining valid professional indemnity insurance.
Compliance with GDPR and patient confidentiality laws.
Failure to meet these obligations may result in suspension or termination of membership and access to facilities.
3. Use of Facilities
Members have access to Harley House's treatment rooms, meeting spaces, and lounges based on their membership type. Practicing at Harley Street Specialist Hospital (HSSH) requires approved admitting rights from the Medical Advisory Committee (MAC). Temporary privileges may be granted while full approval is pending.
4. Communications
By creating an account or signing up for membership, you agree to receive emails and promotional content. You can opt out by following the unsubscribe link in the emails or by contacting us.
5. Purchases and Payments
All payments for membership, bookings, and services are processed through a secure payment system. Members must provide accurate billing information. Membership fees are auto-renewed unless cancelled in advance.
VAT will be charged at 20% on bookings and facility use. Errors in payment details may lead to service suspension.
6. Fee Changes
Harley House reserves the right to change membership fees and other charges. Members will be notified in advance, and any continued use of services implies acceptance of the new fees.
7. Refund and Cancellation Policy
Membership fees are non-refundable unless required by law. Room bookings and event hires must be cancelled at least 48 hours in advance to avoid charges. Refer to the Refund Policy for more details.
8. Content and Intellectual Property
Members may post content within designated areas of the platform, but Harley House retains the rights to use and modify it. Unauthorised reproduction of Harley House's proprietary content is prohibited.
9. Prohibited Uses
Members may only use Harley House for lawful purposes. Prohibited activities include:
Violation of applicable laws.
Fraudulent or harmful behaviour.
Sharing offensive or misleading information.
10. Admitting Rights for HSSH
Consultants practising at Harley Street Specialist Hospital must obtain admitting rights through the Medical Advisory Committee. Applications for admitting rights must be submitted to hello@theharleyhouse.com
11. Confidentiality and Data Privacy
Harley House is committed to protecting members' personal and professional data. All data will be processed and stored in compliance with GDPR. For more details, please refer to our Privacy Policy.
12. Fair Usage Policy
To ensure fair access for all members, Harley House limits excessive use of shared resources such as lounges and meeting spaces. Overuse may result in restrictions on bookings and lounge access.
13. Data Usage for Marketing
Members' profiles and professional information may be used for marketing purposes. Members can opt out by contacting hello@theharleyhouse.com.
14. Force Majeure
Harley House is not liable for service interruptions due to events beyond our control, including but not limited to natural disasters, governmental actions, or pandemics.
15. Membership Freeze, Transfer or Cancellation
Members can request to freeze their membership for up to 1 calendar month in cases of medical emergencies or extended travel. Requests must be submitted to hello@harleyhouse.com for approval, and freezing is at Harley House’s discretion.

16. Guest Policy and Lounge Access
Guest Limits: Members may bring up to 2 guests to the lounge. Guests must be registered on the platform or at reception.
Time Restrictions: Guest access may be restricted during peak hours or special events.
Member Responsibility: Members are responsible for their guests' behaviour.
Additional Guests: More than 2 guests require pre-approval and may incur additional charges.
17. Limitation of Liability
Harley House is not responsible for personal or professional losses during facility use. Members must maintain their own personal and professional indemnity insurance.
18. Dispute Resolution
Disputes will first be addressed through mediation. If unresolved, disputes will be referred to arbitration under UK law.
19. Amendments to Terms
Harley House reserves the right to amend these Terms. Significant changes will be communicated in advance, and continued service use implies acceptance of any amendments.
20. Code of Conduct
Members are expected to adhere to the following Code of Conduct:
Professional Behaviour: Members must treat staff, members, and guests with respect. Disruptive behaviour may result in disciplinary action.
Dress Code: A smart-casual dress code is enforced. No sportswear is permitted in lounges, meeting rooms, or event spaces.
Use of Facilities: Members must use facilities responsibly. Damages due to negligence are the member’s responsibility.
Confidentiality: Respect the privacy of other members, especially during consultations.
Health and Safety: Follow all safety guidelines and report hazards.
Event Conduct: Members hosting events are responsible for ensuring their guests follow the Code of Conduct.
No Smoking Policy: Smoking, including e-cigarettes, is prohibited indoors.
Reporting Misconduct: Misconduct should be reported to Harley House management.
21. Harley House Event Space Hire Terms
Booking: A 50% deposit is required to secure bookings. Full payment is due 7 days before the event.
Cancellations: Cancellations made 14 days before the event will receive a full refund. Cancellations within 14 days forfeit the deposit.
Use of Space: The space can be used for medical events. Any damages incurred during the event are the responsibility of the hirer.
Catering: Catering must be booked 7 days in advance. External caterers require prior approval and are responsible for complying with health and safety regulations.
Equipment: Event spaces include AV technology. Additional requests for equipment or hybrid event support must be made during booking.
Health and Safety: Hirers must ensure health and safety regulations are followed during the event.
Guest Conduct: The hirer is responsible for guest behaviour. Misconduct may result in event termination without refund.
